What we collect
When you submit an inquiry form, we collect the fields you provide: what you are looking for, where you are looking, your optional problem description, your contact detail and your consent confirmation.
The optional problem field may contain health information. If you include health information, it is special category data under GDPR Article 9. We process it only with your explicit consent through the form checkbox.
Why we use it
We use inquiry data to understand your request, prepare a relevant shortlist, contact you about that request and, where you ask us to help, make a direct referral introduction.
If a referral is made, we may share the relevant details with the specific clinic you are referred to so that the clinic can understand the request and respond. Listed or referred clinics are independent providers. mingvia is not their partner, affiliate or endorser.
Analytics
We use Matomo for website analytics.
When the inquiry form is submitted, the page may also send a lightweight conversion event to mingvia. The event is used only to count form submissions. The form still works if this event is blocked or unavailable.
Legal bases
- GDPR, EU and EEA users: we process ordinary inquiry and contact data to take steps requested by you and for our legitimate interest in operating the directory and referral service. We process health information that you choose to provide on the basis of explicit consent under GDPR Article 9.
- Singapore PDPA: we collect, use and disclose personal data for notified purposes connected with your inquiry and referral request, based on consent and reasonable necessity for those purposes.
Retention
Inquiry records are kept for up to 24 months after the last contact about the request, unless we need to keep them longer for legal, dispute or security reasons, or unless you ask us to delete them earlier and no exception applies.
Your rights
Depending on where you are, you may have rights to access, correct, delete, restrict or object to processing of your personal data, and to receive a copy of it. EU and EEA users may also have the right to complain to a supervisory authority.
You may withdraw consent, request deletion or ask questions by emailing hello@mingvia.com. Withdrawing consent does not affect processing that happened before withdrawal.
International referrals
mingvia is operated from Singapore and may refer you to clinics in China or other locations you request. If we share details with a clinic, the clinic handles its own response and care under its own privacy and medical obligations.
Clinic information updates
Clinic representatives may submit structured business information, public sources and private contact details. Updates are held for human review and are not published automatically. Approved information is attributed to the provider and dated; this is not an independent medical quality assessment. Contact details and submissions expire up to 90 days after the latest review. Approved clinic information remains until updated or withdrawn. No AI service is used to process these updates. To request correction or deletion, contact hello@mingvia.com.
Directory feedback
Our optional directory survey collects a usefulness rating, an optional improvement category and optional comments. No name or email is requested. Please do not include personal or medical information. Feedback is stored privately for up to 90 days to improve Mingvia. We do not attach an IP address to feedback records. Cloudflare processes network information for service delivery and abuse prevention. Feedback is not published automatically.
Form security and optional details
We use Cloudflare Turnstile to help prevent automated submissions. Cloudflare processes browser and network signals for this check. We also rate-limit requests and reject invalid form entries. Our inquiry record contains the page path, language and campaign labels where provided; email addresses and free text are not sent to form analytics.
After submitting, you can optionally tell us your timeframe and which information would help you decide. A secure, necessary session cookie lets you add those details to your own request for up to one hour. New inquiry records expire after up to 24 months from the most recent form submission or supplement, unless deleted earlier. To withdraw consent or request deletion, contact hello@mingvia.com.
Personal care searches and optional check-in
If you choose to save a search, we collect your email, selected care topic, format, clinician preference, consultation budget and timeframe. These choices may reveal health information. We use them with your explicit consent to show and email directory options. Recommendations use published provider information and matching rules, not clinical diagnosis. We do not send your request to a clinic.
We send a confirmation email before activating the service. Unconfirmed requests expire after 24 hours. Confirmed requests expire 90 days after confirmation. A hashed email cooldown is kept for 24 hours to prevent repeated verification emails. If you separately opt in, we send one check-in after about seven days. You can update your progress, stop that check-in or delete the request through the private link in your email. Keep that link private. No marketing subscription is created.
Cloudflare provides storage, email delivery and abuse prevention. Turnstile processes browser and network signals for the signup security check. No name, medical document or identity document is requested. We do not attach an IP address to the saved search. For help or deletion, contact hello@mingvia.com.
